Other Outdoor Projects Manager
The Projects Manager is responsible for and oversees most functions of HistoriCorps field operations. This individual will develop, plan, manage, and write and submit reports on multiple concurrent construction projects. The Projects Manager facilitates all aspects of HistoriCorps projects that involve the maintenance, repair and preservation of historic structures. The Projects Manager may at times fill in for field staff on, or lead, preservation projects.
The Projects Manager is responsible for: preparing estimates and proposals; scheduling traveling teams and jobs; planning job logistics; hiring, training and supervising field staff; ordering, procuring and ensuring delivery of materials to sites; tracking jobs; supporting field staff; and drafting and submitting job reports in close collaboration with finance and executive management; The Projects Manager works under the supervision of the Director of Projects and Operations. He/she works in close association with all members of HistoriCorps administrative team, especially the Operations Manager (who is responsible for tools, trucks, and equipment), the Workforce Manager (who is responsible for student and volunteer recruitment and marketing), and the Finance/Executive Management team.
The Projects Manager is supervised by the Director of Projects and Operations.
Duties include but are not limited to:
The overall construction and project management functions of HistoriCorps:
Working with Projects and Operations staff and project sponsors to create a volunteer-, student-, veteran-, and/or youth- appropriate scope of work and corresponding budget for projects. This relationship will continue through project execution and successful completion;
Making site visits when necessary to gather the information required to estimate project costs and mount proposals;
Developing estimates and proposals in collaboration with Director of Projects and Operations;
When 3rd party contractors are utilized, managing communications and scheduling;
Ensuring that all construction operations on each project site comply with the applicable Safety Manuals and HistoriCorps’ and Sponsors’ job site safety programs and policies.
Fostering a safe work environment for field staff and volunteers through training and protocols;
Material ordering, procurement, and delivery to project sites;
Projects and Field Crew scheduling and travel logistics in collaboration with Management Team, including specific instruction as to proper allocation of crew lodging, per diem, and travel costs.
Projects progress and expense tracking and invoicing in collaboration with Business Manager and Executive Director;
Supporting Project Supervisors and Crew Leaders;
Enforcing organization policies regarding field staff conduct, reporting, and accountability to home office;
Trouble Shooting and client relations during project execution;
Working with Operations Manager to prepare vehicles and trailers, tools and equipment, and camp kitchen inventory for seasonal deployment;
Maintaining coordination and close communication with Management Team;
Providing information to Finance Manager and Executive Director as needed and timely to administer contracts (agreements), project budgets, change requests, invoices, and progress payments.
Keeping Business Manager and Executive Director apprised in advance of requisitions for equipment, materials, and supplies to keep within limits of project and department budget;
Recruiting, hiring, training, and supervising field staff and instructors in collaboration with members of Management Team.
Creating and posting job descriptions for seasonal field staff.
Coordinating the interviews (by committee);
once hired, planning and conducting leadership and management training;
Developing, updating, and/or revising field packets in collaboration with Management Team, including but not limited to, Volunteer Management Manual, training manuals, USFS project site protocols, Safety Plans, Evacuation Plans;
Managing field staff, conducting evaluations on productivity, effectiveness, leadership, attitude, and rapport with volunteers, veterans, students, youth, and clients;
Coordinating with the Volunteer & Communications Manager to ensure seamless flow of information to and from field staff regarding their volunteers;
Assuming additional responsibilities as directed by Executive Director;
Mission Critical Tasks:
Management: Champion continuous improvement efforts. Assess and support the implementation of improvements. Foster improvement in all areas of leadership, management, and skills as an organizational ethic and culture;
Finance: Work in unison with Finance Manager to insure that all procedures and policies are followed as defined.
Project Management: Projects Manager is the primary point of contact for project clients, ensuring timely, quality and cost-effective work. Maintain effective client communications. Direct and support the processes that coordinate and manage field teams. Work directly with the Management Team to improve existing and initiate new policies and procedures that support the financial and operational objectives of HistoriCorps.
Essential Knowledge, Skills and Experience:
Master’s Degree in Historic Preservation, Architecture, Architectural History, Construction Management or closely related field, four Year Bachelor’s Degree, or equivalent construction management/ technical preservation experience;
Minimum of ten years experience on site in preservation or related construction field;
Working knowledge of, and experience with, The Secretary of the Interior’s Standards for the Treatment of Historic Properties (SOIS), with Guidelines for Preserving, Rehabilitating, restoring, & Reconstructing Historic Buildings;
Skilled with project management tools, i.e. Gantt charts, Critical Path Scheduling and Management, Microsoft Project, Microsoft Office;
Advanced understanding of project methods, processes and supervision of construction crews;
Exhibit clear, proven leadership skills;
Exceptional written and verbal communication, interpersonal and management skills;
Proven ability to deal with management, vendors and clients;
Conflict resolution and negotiations skills to resolve disagreements quickly and effectively, bringing a problem- solving attitude to conflicting approaches and priorities involving others.
Advanced analytic skills to resolve complex issues;
Ability to analyze operational performance and produce reports that outline areas of improvement;
Ability to fully comprehend construction documents, architectural drawings and specifications, and legal contracts and agreements, using them as a reference when change-orders, discrepancies, or disagreements arise in the field.
